V-STROM EXPEDITION EVENT POLICY
- Program: Suzuki Motorcycle India Private Limited (“SMIPL”) offers an event, starting 10th September, 2025 and ending 21st September, 2025 (“Event”). Any person, who (i) is an individual resident of India as defined under the Income Tax Act, 1961), (ii) is of eighteen (18) years of age or above and has the capacity to enter into a contract and (iii) meets such eligibility conditions as stated under these policy and as may be stipulated by SMIPL from time to time; can become a rider (“Rider”) in this Event.
- Enrolment: Participation in the Event is purely voluntary, and will be accepted on a first-come, first-served basis, and subject to compliance with terms and conditions hereinafter contained. SMIPL may, at its sole discretion, reject the enrolment in the Event for reasons it deems appropriate without obligation to provide any justification.
- Amendments: SMIPL reserves the right to extend, cancel, discontinue, prematurely withdraw, change, alter or modify this Event and/or any part thereof including the eligibility criteria and other pertinent terms and conditions at their sole discretion at any time during its validity as may be required including in view of business exigencies and/or changes by a regulatory authority and/or statutory changes and/or any reasons beyond their control and the same shall be binding on the Rider.
- Eligibility: PParticipation in the Event is exclusively open to owners of Suzuki V-Strom motorcycles. The Event is limited to a maximum of 40 Riders, and enrolment will be considered on a first-come, first-served basis, subject to completion of the registration fee payment in full, submission of all required documents, including valid driving license, vehicle registration certificate (RC), pollution under control (PUC) certificate, valid insurance and approval of documents by the SMIPL..
- Acceptance: The selection of Rider for the Event is at the sole discretion of SMIPL. Confirmation of participation shall be communicated upon successful receipt of the registration fee and submission of all required documents. Upon confirmation, SMIPL will provide the participant with a detailed itinerary and event briefing. The details of the Event are as follows:
- Registration Fee: 30,000 +5% GST + Internet Handling Fees
- Inclusions
- · Suzuki Merchandise: T-shirt, Winter Jacket, Stickers, Carry Bag
- · Accommodation: Twin-sharing basis
- · Meals: Breakfast, Lunch (mobile lunch on long travel routes), and Dinner
- Support Services: The support services shall include:
- · Backup support vehicle
- · Luggage transport vehicle
- · Medical assistance throughout the ride
- · Entry permits
- · Accidental insurance
- · Multiple engagement and skill enhancement sessions
- · Expert guidance
- Exclusions: Members are responsible for:
- · Fuel expenses
- · Snacks
- · Pre-ride logistics
- · Travel from Chandigarh to home city
- · Any item not explicitly listed under inclusions
- Service Support: A mechanic will accompany the ride with basic spares. The Riders will be charged for any parts replaced. SMIPL will assist with motorcycle issues, but each Rider is responsible for their own motorcycle’s return.
SMIPL reserves the right to modify the itinerary or inclusions based on operational requirements or safety considerations.
- Privacy: All information collected in the course of applying for and participating in the Event shall be in accordance with SMIPL’s privacy policy available at https://www.suzukimotorcycle.co.in/privacy-policy (“Privacy Policy”). The Privacy Policy is an integral part of the policy and acceptance of the latter shall be construed as explicit consent and acceptance of the Privacy Policy.
- Electronic Record: The policy are an electronic record in terms of the Information Technology Act, 2000 (as amended / re-enacted) and rules thereunder and is published in accordance with the provisions of Rule 3 (1) of Information Technology (Intermediaries Guidelines and Digital Media Ethics code) Rules, 2021, which mandates for publishing of rules and regulations, privacy policy and terms of use for access or usage of Application. This electronic record is generated by a computer system and does not require any physical or digital signatures.
- Cancellation & Refund Policy: The following terms and conditions apply in case of cancellation & refund cases.
- i. Cancellation by Rider: The Rider may cancel their registration for the Event; however, the refund amount will vary based on the timing of the cancellation.
- · A full refund will be issued for cancellations made 30 days or more prior to the scheduled Event date.
- · For cancellations made between 15 to 29 days before the Event date, a partial refund of 75% of the registration fee will be provided.
- · No refund will be issued for cancellations made within 15 days of the Event date.
- ii. Non-Refundable Charges: Certain charges are strictly non-refundable under all circumstances. These include convenience and platform fees, as well as any third-party bookings made on behalf of the Rider.
- iii. Cancellation by SMIPL: In the rare event, SMIPL may cancel the Event due to unforeseen circumstances such as adverse weather, safety concerns, or operational challenges, Riders will be offered either a full refund or the option to reschedule their participation to a future event.
- iv. Refund Processing Timeline: All approved refunds will be processed within 7 to 10 business days from the date of cancellation and will be credited to the original mode of payment used during registration.
- v. Non-Transferability: Confirmed registrations are non-transferable under any circumstances. Substituting or transferring participation to another individual is not permitted, regardless of the reason.
- Rider Preparedness & Safety: To ensure a safe and successful experience during the Event, all Riders are required to adequately prepare themselves physically, mentally, and logistically. The route includes high-altitude regions such as Ladakh, where elevations exceed 10,000 feet and may pose health risks such as Acute Mountain Sickness (“AMS”).
- Acclimatization Awareness: Riders must be aware of the effects of high altitude and take precautions to avoid AMS. It is advised to:
- · Ascend gradually and avoid overexertion during the first 48 hours.
- · Maintain proper hydration and rest.
- Fitness & Conditioning: Riders are encouraged to follow a fitness regimen at least two weeks prior to the event, focusing on:
- · Lung Capacity: Pranayama, deep breathing exercises, brisk walking.
- · Leg Strength & Endurance: Squats, lunges, cycling, uphill walking.
- · Core Stability: Planks, sit-ups, mountain climbers.
- · Hydration: Drink 3–4 litres of water daily.
- AMS Prevention: To minimize the risk of altitude sickness:
- · Practice Anulom Vilom & Bhastrika Pranayama for 15 minutes daily
- · Carry Diamox as a preventive measure (consult a physician before use).
- · Avoid smoking and alcohol for at least a week before the tour
- Gear & Clothing Checklist: Riders must carry appropriate riding and weather gear, including:
- · Thermals, riding jacket/pants with liners
- · Waterproof gloves, balaclava
- · High-ankle riding boots
- · UV sunglasses, SPF 50+ sunscreen
- · Water bladder or bottle
- Motorcycle Preparation: Each Rider is responsible for ensuring their motorcycle is in optimal condition:
- · Service your motorcycle well in advance
- · Ensure tyres have adequate tread
- · Clutch should be in good condition
- · Brake pads/shoes must be new
- · Replace bent or frayed cables
- Satellite Luggage: Riders must carry essential items on their motorcycle at all times to account for potential delays in luggage van arrival. Satellite luggage should include drinking water, toiletries, first aid kit, change of clothes, footwear/slippers and warm clothing etc.
- Required Documents: All Riders must carry the following valid documents:

- No Transfer of membership: SMIPL does not allow a Rider to transfer its registration to another individual and as such cannot be pooled with, combined or transferred to any other mobile number.
- No Warranties: Subject to any applicable laws; (a) All warranties of any kind whatsoever, whether express or implied, are hereby expressly disclaimed including, but not limited to, meeting of the Rider’s requirements or aspirations, timeliness, security, the results or reliability of the Event, delay in providing consent for participating in the Event, any type of delay related delivery, quality, quantity, merchantability, fitness for use or non-infringement in respect of any goods, services, benefits acquired or obtained through the Event or any transactions effected through the Event; and (b) The Rider expressly agree that his/her participation in the Event is at his/her sole risk and is governed by the policy herein.
- Statutory Compliances: SMIPL, may from time to time, in compliance with extant regulations and applicable law, impose additional terms and conditions that may be necessary for ensuring compliance of the Event with extant law. Such terms and conditions shall be binding upon the Rider.
- Indemnity: Rider shall indemnify and keep indemnified SMIPL and their officers, directors, employees, customers, and affiliates harmless from and against any and all claims, losses, suits, proceedings, action, liabilities, damages, expenses and costs (including attorney’s fees and court costs) which SMIPL may incur, pay or become responsible as sponsor/organizer/facilitator as a result of (i) breach or alleged breach of the representations or obligations by the Rider under the policy hereunder; (ii) any failure by the Rider to comply with applicable law and (iii) any third party claim in respect of misuse of any information of a third party by the Rider.
- Force Majeure: SMIPL’s obligation under the Event is subject to force majeure circumstances including without limitation, Adverse weather conditions, floods, epidemic, lockdown, natural disasters, war, act of terror, political unrests, technical snags, act of God, change of laws or any circumstance beyond the reasonable control of SMIPL (“Force Majeure Event”). SMIPL shall not be liable for any delay or adverse effect caused to this Event as a result of a Force Majeure Event. If a Force Majeure Event occurs, SMIPL shall not be responsible for any damage or loss which Rider may suffer by reason of such a failure or delay of performance, and such failure or delay shall not be a breach on part of SMIPL.
- Waiver and Assignment: Failure by SMIPL to enforce any of their rights at any stage does not constitute a waiver of those rights. Further, SMIPL may assign any of its rights within the Event to any party without prior intimation to Rider.
- Marketing and Promotion: The Rider grant to SMIPL a perpetual, irrevocable, non-exclusive, worldwide, royalty-free, assignable license to display, publish, announce or refer the details or name of the Rider in any form, electronic or print manner, venue, media or technology now known or later developed for any and all purposes, including, without limitation, for purposes of trade, advertising, and promotion as SMIPL and its licensees or assignees determine, without any further compensation, notification, or permission.
- Disputes: (a) All disputes in connection with the Event (“Dispute”) within 15 (fifteen) days from the commencement of such Dispute shall be solved amicably. In case of such failure, the Dispute shall upon the expiry of the aforesaid period, be referred to e-arbitration to be conducted by a sole arbitrator, who shall be jointly appointed by SMIPL and Rider involved in the Dispute from the panel of available e-arbitrators. All arbitration proceedings may be conducted through mode available on the internet or any other information and communication technology (including but not limited to video call system, telephone or mobile, fax, e-mail facilities) which can be beneficially used to solve Dispute. All Arbitration proceedings shall be held in accordance with the provisions of Arbitration and conciliation Act, 1996. The language of arbitration shall be English. The arbitral award shall be final and binding on the Parties. The award may include costs, including reasonable advocates’ fees and disbursements. (b) Subject to the above clause, all Disputes in connection with the Event are subject to the laws of India and subject to the exclusive jurisdiction of courts at Delhi.
